PlayCricket Suomi ry (hereinafter “PCS”, “the Club” or “we”) processes personal data of its members, players, junior players, parents and guardians, coaches, volunteers, and other persons participating in the Club’s activities for the purposes of organising and administering the Club’s activities.

2. Whose Personal Data Do We Process?
Personal data may be processed in relation to the following groups of individuals:
- Members
- Potential members
- Parents and guardians of junior players
- Service providers
- Stakeholders
- The Club’s coaches, volunteers and other Club representatives
- Visitors to the Club’s website and persons who contact the Club, for example via the website contact form
- Participants in competitions and events organised by the Club
3. For What Purposes Do We Process Personal Data?
PCS processes personal data for the following purposes:
- managing memberships
- processing membership fees and invoices
- managing registrations for training sessions and events
- managing training groups and participants
- communication between players, parents/guardians, coaches and the Club
- organising coaching and junior activities
- organising matches, tournaments and other competitive activities
- managing licences and insurance
- communicating information relating to the Club’s activities
- ensuring the safety and proper organisation of the Club’s activities
- accounting and compliance with other statutory obligations
- developing the Club’s activities and handling feedback received from members.
4. Legal Bases for Processing Personal Data
The legal basis for processing personal data depends on the purpose of the processing.
Contract or Membership
Personal data is processed when necessary for managing membership, participation in training or events, or another service agreed with PCS.
Legal Obligation
Personal data may be processed when PCS is legally required to do so, for example in matters relating to accounting.
Legitimate Interest
PCS may process personal data on the basis of its legitimate interests, for example in connection with the administration of the Club, communication with members, organising activities and ensuring safe Club activities, provided that such processing does not override the rights and freedoms of the data subject.
Consent
Where processing is based on consent, consent will be requested separately. Consent may be withdrawn at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
5. What Personal Data Do We Process?
The personal data processed may include, for example:
- name
- date of birth
- contact details, such as email address and telephone number
- membership information
- training and event registrations
- information relating to training groups
- information relating to membership fees and other payments
- licence and insurance information
- information relating to playing and competitive activities
- parent or guardian information of a junior player
- information relating to the role of a coach or volunteer
- information provided through contact forms
- information relating to accommodation and meals where necessary in connection with competitive activities
- information relating to photography and image permissions.
6. Where Do We Obtain Personal Data?
Personal data may be obtained from:
- the individual themselves
- the parent or guardian of a junior player
- the SuomiSport service
- the contact form on the PCS website
- registrations relating to the Club’s activities
- competition, licence and other systems related to sporting activities
- other persons participating in the Club’s activities, where necessary for organising the activities.
7. Necessity of Providing Personal Data
Providing certain personal data is necessary for managing membership, participation in training and other Club activities. If the required information is not provided, PCS may not be able to:
- register the membership
- process the membership fee
- approve a training registration
- arrange participation in certain events or competitions
- manage the necessary licence or insurance matters.
8. SuomiSport
PCS uses SuomiSport to manage memberships, membership fees and training registrations. According to PCS, SuomiSport is used for both junior and women’s activities.
In the SuomiSport service, users manage their own Sports Account, and parents or guardians can manage their children’s information.
9. Who May Receive Personal Data?
Personal data may only be processed or disclosed when there is an appropriate legal basis and it is necessary for the relevant purpose. Personal data may be disclosed or made available for processing, for example, to:
- SuomiSport
- Cricket Finland
- parties involved in organising competitions and tournaments
- licence and insurance service providers
- accounting service providers
- other service providers used by PCS
- public authorities where required by law.
10. Transfers of Personal Data Outside the EU/EEA
PCS aims to use services where personal data is processed within the EU/EEA. If personal data is transferred outside the EU/EEA, for example in connection with competitive activities, PCS will ensure that the transfer is subject to the safeguards required by the GDPR.
11. Retention of Personal Data
Personal data is retained only for as long as necessary for the purpose for which it is processed or for as long as required by law. For example, accounting-related information is retained in accordance with applicable legislation. When personal data is no longer required, it will be appropriately deleted or anonymised.
All materials produced by the Club itself in connection with the Club’s activities are retained permanently. Such materials include, for example, minutes, annual reports and action plans.
12. Protection of Personal Data
Care is taken when processing personal data, and information processed through information systems is appropriately protected.
Within SuomiSport, information relating to the Club and its members is only processed by persons who, based on their duties, are authorised to process such information. Access to personal data is restricted to the extent necessary for carrying out the relevant duties.
13. Juniors and Minors
PCS’s activities include cricket for children and young people. When processing the personal data of minors, particular attention is paid to the necessity and security of the information and to the best interests of the child. A junior player’s parent or guardian can manage the child’s Sports Account and training registrations in SuomiSport.
14. Photographs and Other Image Material
PCS may use photographs and other image material taken during Club activities to present and communicate information about the Club’s activities. According to PCS’s own guidelines, photographs of members are only published with appropriate permission.
15. Automated Decision-Making and Profiling
PCS does not use personal data for automated decision-making or profiling that produces legal effects concerning the data subject or similarly significantly affects the data subject.
16. Rights of the Data Subject
Every person whose personal data is included in the register has the right to check the information stored about them and to request the correction of inaccurate information or completion of incomplete information. Under applicable data protection legislation, you have, for example, the right to:
- obtain confirmation as to whether we process personal data concerning you
- access your personal data
- request the correction of inaccurate or incomplete information
- request the deletion of your personal data where permitted by law
- request restriction of the processing of your personal data in certain circumstances
- object to the processing of your personal data in certain circumstances
- receive personal data that you have provided to us in a machine-readable format where the requirements for data portability are met
- withdraw your consent where processing is based on consent.
Not all rights apply in every situation. For example, information that must be retained by law cannot be deleted before the applicable statutory retention period has expired.

19. Website and Contact Form
The PCS website includes a contact form through which users can contact the Club. The form requests at least a name, email address and message. Personal data submitted through the contact form is processed for the purpose of handling and responding to the enquiry.
20. Changes to This Privacy Notice
PCS may update this Privacy Notice if the Club’s activities, the services it uses, or applicable data protection legislation changes. The current version of the Privacy Notice will be published on the PCS website.
